Front End Scanning Training Reference Guide

The purpose of Front End Scanning is to scan documents to the etfile User(s) Inbox. If you currently have someone open, sort and distribute the mail, this method will replace that by allowing the person to scan the paper mail or any paper documents into each User’s Inbox all at once into etfile, (using Barcodes which are explained below) then throw the paper documents away if you choose. This method allows each User to first review the scanned documents that are in their Inbox in the etfile Workflow Console Inbox or in the Fileroom and then file the document to the correct Cabinet in etfile using the Attached and Move button (which accomplishes the same thing as using the Workflow Console).

Analytics Tool for Administrators

The etfile Analytics Tool was designed for the etfile Administrators to allow for reporting and viewing of processed and unprocessed documents.  Analytics allows the Administrators to run reports on all etfile features such as who scanned a file, who deleted it, when it was deleted and much more.

etfileCloud: Handling Frozen Sessions

etfileCloud servers provide users the ability to log off their own session.

If you encounter a frozen session please complete the following steps to reset your session:

  1. In Windows system tray, right click the “ETFile Cloud Server Listener (Remote)” icon.

  1. Right click a listener, as shown in the screenshot to the left, and then click “Log off from ETFile Cloud.”

*In some cases you may see two etfileCloud Listeners icons as seen in the tray below. However, only ONE provides the “Log off” option. If the option to “Close Etfile Cloud client listener” pops-up you may close the listener as it does not have any effect on the second user. However, to log-off you must choose the listener icon which provides the “Log off from Etfile Cloud” option.

 

If the issue continues, please call support or submit a ticket to provide the details of when the freezing occurred. The support technician will be able to walk you through the necessary steps.

 

Management Console Training Reference Guide

 

The purpose of this section is to create Users for the etfile software. The Users will be added to Groups. Permissions are granted or removed for each Group to determine what features of the software you will allow each User to have.  By adding Users to a Group you can control permissions easier at the Group level and simplify the process of managing permissions.  The Management Console is intended for Administrators of the etfile Software. We recommend designating a few Users to be the Administrator of the etfile system and ensuring those Users have sufficient privileges, which is discussed in this Training Guide.
